our process
There is no such thing as too small or too big of a job. Our clients (of all sizes) trust us with their dreams, and they rely on us to help make their visions a reality. We expect nothing less than total satisfaction from our clients, so we put in the extra work to make sure we understand their needs, their goals, and their preferred workflows.
Our goal is to learn more about your business and your objectives to determine if and how we can best meet your creative needs. This process includes a meticulous review of existing structures and construction plans, preliminary budgets, and established processes.
phase 1
Initial Consultation & Scoping
After initial review, we will provide you with a rough estimate of project costs along and sample renders to visualize attainable results.
phase 2
Estimated Costs & Pre-Design
Upon receiving a signed letter of engagement and deposit, Optic8 will support you through your fundraising efforts by providing market insights and pre-created collateral to be added to your investor decks.
phase 3
Initial Partnership Agreement & Support
Upon receiving a signed SOW for a full custom studio design, Optic8 will begin working with the project’s general contractor to ensure the building’s structural, electrical, HVAC, fire suppression, and mechanical systems meet the needs of the studio design. From here we can work with your team to configure a final studio design, equipment list, and project budget.
phase 4
Design Development Agreement
Upon receiving a signed SOW for the remainder of the project, Optic8 will create a work-back schedule for equipment ordering, finalize the payment schedule, get structural engineering sign-offs, and create wiring diagrams.
phase 5
Final Agreement & Implementation Plan
phase 6
Depending on project scope, the 3-7 months prior to install will consist of receiving final payments, ordering long and short lead-time equipment, and establishing a delivery schedule for on or off-site deliveries.
Equipment Order & Logistics Management
As building prep concludes and after all equipment has been ordered, Optic8 will work with you to lock in mutually agreeable installation dates.
phase 7
Installation Scheduling
Upon completion of install, Optic 8 will conduct a thorough walk-through with your team before the project can receive sign-off. At this time we will also coordinate with your team to schedule a follow-up training for best practices and operating procedures.
phase 8
